Export to Excel

How to edit Salesforce records in Excel and sync changes back

Export your Salesforce records to Excel, edit them like any spreadsheet, and sync the changes back with a field-by-field diff preview, no CSV mapping, no surprises.

Published 2 October 2026

Most people do not actually want to “export Salesforce to Excel.” They want to edit their records where editing is fast, in a spreadsheet, and have those changes land back in Salesforce safely. That round-trip is the hard part, and it is where most tools stop.

Why the round-trip is the problem

Exporting is one-way. To get edits back in with the built-in tools you re-import a CSV: map every column to a field, hope your picklist values match exactly, and watch that Excel has not reinterpreted your dates. Then you run the import and read a success/error file to find out what happened. There is no preview of what will change before it writes. For a careful edit across a few hundred records, that is the opposite of reassuring.

A safer way: export, edit, preview, apply

Upcells is a desktop app (macOS and Windows) built for exactly this. The loop is short and safe:

  1. Export. Pick an object and fields and pull them into Excel. Restricted picklist fields come through as real Excel dropdowns, so only valid values can go back in. You can include related fields too, like Account.Name on an Opportunity. (See query and export.)
  2. Edit. Change the data in Excel, Numbers, or Google Sheets, however you like to work.
  3. Preview. Drop the file back and Upcells shows a field-by-field diff: old value, new value, and any picklist or required-field warnings.
  4. Apply. Nothing is written to Salesforce until you click Apply. (See edit and sync.)

No column mapping. No guessing. A clear preview of every change before it happens.

Other things you can do from the spreadsheet

  • Log activities in bulk by filling a cell: notes, tasks, calls, and events become Salesforce activities on sync.
  • Work across several orgs (Production, Sandbox, Dev) from one app.
  • On the higher tiers, use a private, on-device AI to enrich fields and answer questions about your data, without the data leaving your machine.

How it compares to Data Loader

Data Loader is Salesforce’s own free tool and it is great for large, automatable jobs. But it is built for admins, works through CSV mapping, and has no change preview. For everyday edits by someone who lives in a spreadsheet, a round-trip tool with a diff preview is usually faster and safer. There is a fuller comparison in Data Loader alternatives.

Frequently asked questions

Can I edit Salesforce records in Excel? Yes. Export your records to a spreadsheet, edit them, and sync back. A tool like Upcells makes it a previewed round-trip so you see every change before it writes.

How do I bulk update Salesforce from a spreadsheet safely? Use a tool that shows a diff before applying. Upcells compares your edited file against the original and lists every field that will change, so nothing is written until you approve it.

Does this work with custom objects and fields? Yes. It works with any object and field your Salesforce user can access, standard or custom.
