Owners change: reps leave, territories get redrawn, accounts move to a new rep. When records keep their old owner, they fall through the cracks and skew every per-rep report. Here is how to reassign ownership in bulk, and the gotchas to watch.
When you need this
- A rep leaves and their pipeline must move to someone active.
- A territory or segment is re-carved.
- A one-off rebalancing of accounts across the team.
Four ways to do it
1. Mass Transfer Records (built in)
Setup has a Mass Transfer Records tool for Leads, Accounts, and a few related objects.
- Good for: a straightforward transfer from one user to another.
- Watch out for: it covers only certain objects, and the filtering is basic.
2. Data Loader
Update the OwnerId field in bulk by CSV.
- Good for: any object, large volumes.
- Watch out for: you need each record’s Id and the new OwnerId (the user’s 15 or 18 character Id), and there is no preview of what will change. See the Data Loader guide.
3. Flow or Apex
Automate reassignment on a rule (for example, round-robin on lead creation).
- Good for: ongoing, rule-based assignment.
- Watch out for: it is a build, and overkill for a one-off.
4. A Manage tool with a preview
Upcells reassigns owners in bulk through a propose, review, apply flow: you see exactly which records move and to whom before anything is written. See the Manage features.
Gotchas to watch
- Sharing and visibility. Changing the owner changes who can see the record. Check your sharing model before a large transfer.
- Related records. Reassigning an Account does not always reassign its Contacts and Opportunities; decide whether those should move too.
- Notifications. Some transfer methods email the new owner for every record. For a big batch, that is a lot of email, check the option before you run it.
- Inactive users. You cannot assign records to a deactivated user, reassign away from them before (or as part of) offboarding.
Make it part of offboarding
The cleanest fix is process: when a user is deactivated, reassigning their records is a step on the checklist, not a surprise discovered later in a report. For the wider picture, see the data-quality playbook and how to clean up Salesforce data.
Frequently asked questions
How do I reassign Salesforce records when a user leaves? Before or during deactivation, transfer their records to an active owner using Mass Transfer Records, Data Loader, or a Manage tool. You cannot assign records to an already-deactivated user.
Can I reassign Accounts and their Contacts and Opportunities together? Not automatically in every method. Mass Transfer has some related-record options; otherwise plan to reassign each object, or use a tool that lets you handle them together.
Is there a way to preview owner changes before applying them? Yes. A Manage tool like Upcells shows a diff of which records will move and to whom before writing, unlike a raw Data Loader job.
